3. Provision of the Website and Server Log Files
When this website is accessed, technically necessary information is processed in order to provide and securely operate the website.
This may include, in particular:
- browser type and browser version,
- operating system used,
- IP address,
- date and time of access.
Temporary processing of the IP address is necessary in order to deliver the website to the user’s device.
The processing also serves to ensure the functionality and security of the information technology systems of TU Dortmund University.
The legal basis for this processing is Art. 6(1)(e) GDPR in connection with the performance of the university’s tasks.
Where data is stored in server log files, IP addresses are anonymized in accordance with the requirements of TU Dortmund University after no more than 24 hours.
4. Web Analytics
TU Dortmund University uses the open-source web analytics tool Matomo for its websites in order to analyze the use of its websites and improve its online services.
Information about the pages visited, the website previously visited, the duration of the visit, the browser used, the operating system and the screen resolution may be processed for this purpose.
The Matomo installation operated by TU Dortmund University does not use cookies. A browser session is assigned using a digital fingerprint, which is deleted after 24 hours.
Matomo is operated on servers of TU Dortmund University. Data generated as part of this web analysis is not shared with third parties for this purpose.
The central Matomo configuration of TU Dortmund University respects the “Do Not Track” setting of the user’s browser.
5. “Future Vision” Form
This website provides the option of submitting a personal vision for the future of a place in the Ruhr Area using the “Future Vision” form.
Data Processed
When using the form, we process in particular:
- the text you enter describing your future vision,
- your email address, if you choose to provide it,
- information on whether you have consented to receiving information and newsletters by email,
- the date and time of the respective consent.
Providing an email address is not required in order to submit a future vision unless you wish to subscribe to the newsletter.
Purpose of Processing
The future vision is collected and stored as part of the FlowAR project in order to gather and evaluate ideas and perspectives regarding the future development of places in the Ruhr Area.
Personal information submitted through this form will not automatically be published.
If a submitted future vision is later to be published in a way that identifies a specific person or is to be used for an additional purpose, separate information and, where required, separate consent will be obtained.
Legal Basis
Where processing is based on your consent, the legal basis is Art. 6(1)(a) GDPR.
You may withdraw your consent at any time with effect for the future.

The withdrawal of consent does not affect the lawfulness of processing carried out on the basis of consent before its withdrawal.
Storage Period
Personal data collected through the form will generally be stored only for as long as it is required for the respective purpose within the FlowAR project.
If the purpose of processing no longer applies or consent is withdrawn, the relevant personal data will be deleted unless statutory retention requirements or another legal basis require continued storage.
6. Newsletter and Information About the FlowAR Project
Subscription to the newsletter and the receipt of information by email are voluntary.
Submitting a future vision is not dependent on subscribing to the newsletter.
If you select the relevant checkbox, we process:
- your email address,
- information confirming that you have consented to receiving information and/or newsletters,
- the date and time of your consent.
This data is used to send you information about FlowAR, the project and related activities by email.
The legal basis for this processing is your consent pursuant to Art. 6(1)(a) GDPR.
You may withdraw this consent at any time with effect for the future, for example by sending an email to:
Following withdrawal of your consent, your email address will no longer be used to send you the relevant information.
Data stored for newsletter purposes will generally be stored until you withdraw your consent or until the newsletter service is discontinued. Statutory retention obligations remain unaffected.
Email addresses are currently stored directly within the WordPress installation used for this website. The form used here does not automatically transmit email addresses to an external newsletter service provider.
If an external newsletter service provider is used in the future, this Privacy Policy will be updated accordingly before the service is used.
7. Recipients of the Data
Access to data collected through the form is generally limited to the departments and individuals within TU Dortmund University who are involved in the FlowAR project or the administration of this website, insofar as access is required for their respective tasks.
